What does this actually cost?
Eight hundred dollars for a solo or small business, and from $3,500 for a team. The difference is how many places your business keeps what it knows. Roughly five or fewer sources is the small tier. More than five, or more than one person adding to it, is the team tier. A business with several locations, in a regulated field like law or medicine, or needing systems joined up rather than just read, is quoted by scope. Whichever it is, I confirm the number on a short call before any work starts.
How is this different from uploading my files to ChatGPT?
Uploading gives one tool a pile of documents and hopes it finds the right part. This structures the knowledge so the answer is findable, and it lives as plain files in your own folder rather than inside one company account. When you change AI tools, and you will, the work comes with you.
What is Obsidian, and does it cost anything?
Obsidian is a free app for writing and linking notes, and it is where I set your knowledge base up so it is searchable and connected rather than a pile of documents. A vault is just a folder of plain text files on your computer, so nothing is trapped in the app: the same files open in any text editor and upload to any AI tool. Obsidian is free to use, including for business. The company asks organisations to buy an optional commercial licence at $50 US per user per year to support the work, and I would rather you hear that from me now than find it later. You do not have to use Obsidian at all. The files are yours either way.
Do I have to pay every month?
No. It is a build, not a subscription. If you want me keeping it current as the business changes, that rides the ongoing support retainer you may already have. I am not going to charge you rent for a file that is not changing.
Is my information safe?
The files are yours and they stay in your own storage. Nothing is uploaded anywhere you have not chosen. If your business handles health or financial records, those belong in the system built to hold them, not in a general knowledge base, and I will say so rather than sweep it into the folder.
Do I need this if it is just me?
Often yes, and for a different reason. A team needs it so everyone gives the same answer. A one person business needs it so the AI stops giving generic advice and starts being useful about your actual work. Same artifact, smaller job, which is why the small tier exists.
