How we collect, use, and protect your information — in plain English.

At Kootenay Made Digital, we believe in being upfront about everything — including how we handle your personal information. This policy explains what we collect, why we collect it, and what we do with it. No fine print, no surprises.

What Information We Collect

Information you give us directly

When you fill out our contact form, you share your name, email address, phone number, business name, city, website URL, what you're interested in, and your message. We only collect what we need to understand your project and get back to you.

Payment information

When you pay for our services, your payment is processed securely by Stripe. We never see or store your full credit card number. Stripe handles all the sensitive payment details. For e-Transfer payments, we receive the transfer through our bank — we don't store your banking information.

Information collected automatically

We use Google Analytics to understand how people use our website — things like which pages are visited most, how long people stay, and what devices they use. This data is aggregated and anonymous. We don't use it to identify individual visitors.

How We Use Your Information

We use the information we collect to:

• Respond to your inquiries and contact form submissions • Deliver the web design, branding, and other services you've hired us for • Process payments for our services • Send you project updates and deliverables • Improve our website and services based on how people use them • Follow up on completed projects (like our 30-day support window)

We don't sell your information. We don't rent it out. We don't use it for purposes you wouldn't expect. If we ever want to use your information for something new, we'll ask first.

Third Parties We Work With

Stripe

Processes credit card payments securely. Stripe has its own privacy policy and is PCI-DSS compliant — that's the gold standard for payment security.

Google Analytics

Helps us understand website traffic and usage patterns. Google Analytics uses cookies to collect anonymous, aggregated data. You can opt out using Google's browser add-on.

Vercel

Hosts our website. Vercel may process basic server logs (like IP addresses) as part of delivering web pages to your browser.

We only share your personal information with third parties when it's necessary to deliver our services, required by law, or you've given us explicit permission.

Our website uses a small number of cookies:

Essential cookies

These keep the website functioning properly — things like remembering your preferences during a session.

Analytics cookies

Google Analytics places cookies to help us understand how visitors use the site. These cookies don't identify you personally. You can block them through your browser settings or by using Google's opt-out tool.

We don't use advertising cookies or tracking pixels.

How Long We Keep Your Information

We keep your contact form submissions and project records for as long as we have an active business relationship with you, plus a reasonable period afterward (typically up to 3 years) for follow-up and record-keeping purposes.

Payment records are kept as required by Canadian tax law (typically 7 years).

If you ask us to delete your information, we'll do so promptly — except where we're legally required to keep it.

Your Rights Under BC PIPA

As a British Columbia business, we follow the Personal Information Protection Act (PIPA). Under PIPA, you have the right to:

• Access the personal information we hold about you • Request corrections to any inaccurate information • Withdraw your consent for us to use your information (with some exceptions) • Ask how your information has been used or shared

To exercise any of these rights, just email us at hello@kootenaymade.ca. We'll respond within 30 business days, as required by PIPA. There's no cost to make a request.

Children's Privacy

Our services are designed for businesses, not children. We don't knowingly collect personal information from anyone under the age of 13. If you believe a child has submitted information through our site, please contact us and we'll remove it promptly.

Changes to This Policy

If we make significant changes to this privacy policy, we'll update it here and change the "last updated" date at the top. For major changes, we may also notify current clients directly.
